2007 Annual MeetingYour Colony Woods Homeowner’s Association (CWHA) held its annual meeting on Review of 2006. First on the agenda was a review of the Board’s activities over 2006. President Ken Kuller reported that the four annual events of the neighborhood did occur, with all of the events once again being a big hit. The only exception was the Perennial Exchange, which was beset by very bad weather that affected turn-out. President Ken voiced that these events are a strong way to keep the neighborhood vibrant, and the events give people the opportunity to meet neighbors that they might otherwise not have the chance to meet. Over this past year, much time was spent fixing the fences that surround our neighborhood and maintaining the landscaping in the common areas. The Board also unfortunately had to spend some time getting repairs done to the entrances; once after an accident and once after vandalism. With regard to the latter, the lights for one of the entrances were vandalized, along with a couple homes in Colony Woods. Fortunately, a homeowner saw the vandals and called the police. The youth vandals were apprehended and confessed. We have received a partial re-payment for the monies we spent from our dues to fix the damage. President Ken reported that he has received many calls from residents that the entrances look great. Another issue to arise this year that kept some Board members, and fellow residents, busy was a request from Buttondown Farms Homeowners Association to share the cost of maintaining a pond in their area, due to run-off from Colony Woods being perceived as entering the pond. Resident Tim Bennett volunteered to research this issue, and he discovered that Colony Woods has no official drainage system into the pond. Therefore, President Ken Kuller sent notice to Buttondown’s homeowner’s association that Colony Woods would not participate since we have no drainage as a neighborhood into the pond. However, there may be homeowners that have placed their individual home’s drainage pipes into the pond, and President Ken has already talked with a couple of such homeowners to inform them of this situation and to suggest that they consider contributing on their own since they are utilizing Buttondown’s pond. Treasurer’s Report. Treasurer Amy Miller went over the 2006 Budget. Expenses were higher than budget amounts, primarily due to the entrance improvements expenses. Total expenses for the year were just over $35,000. Treasurer Amy also proposed the 2007 Budget, which will include a continued reserve for ongoing fence repair, including annual pruning of vegetation along the fence line, as this is an excellent way to keep our fences from needing to be replaced pre-maturely. Treasurer Amy also reported that six residents have declined to pay their 2006 dues, even with personal phone calls being made to them. Their names/addresses have been submitted to the CWHA’s attorney to initiate the lien process against these properties. Board Decisions. Several decisions were made by the Board during this meeting. Those involving the allocation of funds over and above budget line amounts (e.g., Block Party) are listed here: o $500 to purchase new holiday wreaths for all entrances o $100 to purchase permanent sign holders for each entrance (the temporary signs keep getting stolen) o $500 to purchase materials for updated welcome packets for new residents Board Growth and Development. President Ken led a discussion about the current Board. Two district representative positions remained open throughout 2006. One district representative has stepped off the Board. Also, President Ken will have to step down at the end of 2007, as he has served his two-year commitment. In addition, two Board members have been serving for ten years. President Ken stressed that the open positions need to be filled, and that new residents are encouraged to come forward to serve as a way to bring fresh ideas to the Board. Time commitment continues to be minimal; about 1-2 hours per quarter. Two residents have stepped forward and agreed to serve, which leaves only one district representative open. The Board thanks and welcomes Scott Travis and Stephanie Wiggins! They will serve districts 4 and 5, respectively. All residents are asked to consider serving their neighborhood by being on the Board. The open district is district 2. District Representative Teresa Bennett opened a discussion of the benefits and challenges of using email to get information to residents. The newsletter will continue in its paper form, as many people do not use their emails and/or have not provided the CWHA with their email address. All residents are reminded to check out the website; it does have a new look! (www.colonywoodsonline.com). Further, basic information is located on the website, such as the application process for the architectural committee. One of the annual meeting guests brought up the issue of street repairs. Any street issues have to be directed to the Town; contact Lance Lantz, yet residents are requested to let President Ken Kuller know you’ve made a contact so he can follow up. |

You are wanted to serve! Please consider giving your time to serve on the Board. We have one open district representative position, which is District 2. You do not need to live in District 2 to be the representative. Time commitment for a district representative is about 1-2 hours per quarter. This is a great way to get familiar with how CWHA is run, and to be part of the decision-making for how your dues are spent. Further, up to three Executive positions will likely be open by the end of 2007; President, Vice-President, and Secretary. Please consider giving your time to the Board by serving in one of these important positions. Time commitment for these positions is about 1 hour per month. We would love to have someone who is interested in one of these positions step up now, so that s/he can “learn the ropes” from the seasoned Board members who will be vacating these positions. Financial update
Our balance sheet is healthy and we will have the funds to cover any remaining expenses through the rest of this year, with sufficient funds to keep adding to our reserves (these go towards large expenses that do not happen yearly, such as major fence repairs).
